1. Purpose
This Data Retention & Account Deletion Policy explains how CheckDeskPro stores, retains, archives, and deletes customer information.
This policy is intended to provide transparency regarding the lifecycle of customer data within the CheckDeskPro platform.
2. Scope

- Customer accounts
- Business records
- Check records

- Configuration settings

- Activity logs

3. Customer Ownership
Customers retain ownership of information submitted to the Service.
CheckDeskPro does not claim ownership of customer business data.
Customers are responsible for maintaining copies of information they consider critical.
4. Active Accounts
While an account remains active, customer information may be retained as necessary to:
- Provide the Service
- Maintain system functionality
- Support reporting
- Process subscriptions
- Provide customer support
- Maintain security controls
5. Account Cancellation
Customers may cancel subscriptions at any time.
Cancellation generally:
- Stops future subscription renewals.
- Does not immediately delete account data.
- Does not automatically remove backups.
- Does not immediately eliminate support records.
6. Account Deletion Requests

7. Deletion Process
Upon receiving a verified deletion request, CheckDeskPro may:
- Disable account access.
- Remove customer access credentials.
- Schedule customer data for deletion.
- Remove information from active systems when practical.
Deletion may not occur instantly.
Reasonable processing time may be required.
8. Backup Systems
Customer information may remain in backup systems for a limited period following deletion requests.
Backup retention periods exist to support:
- Disaster recovery
- Security investigations
- Operational recovery
- Business continuity
Backup data is generally deleted automatically as backup retention periods expire.
9. Information That May Be Retained
Certain information may be retained after account deletion when necessary to:
- Comply with legal obligations

CheckDeskPro reserves the right to manage inactive accounts according to operational requirements.
Prior to permanent deletion of inactive accounts, reasonable efforts may be made to provide notice when practical.

Where required by law, regulation, court order, subpoena, or government request, information may be retained beyond standard deletion schedules.
Such information will remain subject to applicable legal obligations.
13. Security Logs
System logs, security records, audit records, and operational monitoring information may be retained for security and compliance purposes even after customer account deletion.

Certain customer information may be stored by authorized third-party providers assisting with:

Deletion timing may vary depending on the systems involved.
15. No Guarantee of Immediate Erasure
While CheckDeskPro will make reasonable efforts to process deletion requests, customers acknowledge that:
- Immediate deletion may not be technically possible.
- Archived copies may temporarily remain.
- Certain records may be legally required to be retained.
16. Policy Updates
This policy may be modified periodically.
Material changes may be communicated through the Service or by other reasonable means.
Continued use of the Service constitutes acceptance of revised versions of this policy.
